Job Description

PRIMARY DUTIES AND RESPONSIBILITIES: 

  • Possess general knowledge of projects, cases and clients within the practice area they support
  • Receive and screens visitors and telephone calls
  • Maintains calendars for assigned attorney(s)
  • Schedules hearings, depositions, meetings
  • Arranges travel for attorneys
  • Provides documentation production in accordance with the requirements of the assigned attorney
  • Proofreads all documents produced, checking for appropriate formatting, spelling and grammatical errors, as well as ensuring that all attachments, exhibits and enclosures are intact
  • Reviews attorney bills/enters time
  • Interacts with clients as required
  • Opens and screens incoming mail and prepares documents for mailing
  • Performs routine filing, closing files and retrieves closed files when requested
  • Perform other duties as assigned
  • Assist other staff as needed

 

ESSENTIAL KNOWLEDGE, SKILLS AND ABILITIES REQUIRED: 

  • Knowledge of office practices, procedures, office machines and equipment
  • Possess correct spelling, grammar, vocabulary, communication skills, punctuation and legal terminology
  • Knowledge of content and format of legal documents
  • Ability to read, analyze and understand legal documents
  • Ability to work under pressure
  • Ability to transcribe documents from written, oral or tape transcription format
  • Ability to determine work priorities and seek out help when necessary
  • Must have typing skills of 85 wpm and at least 2 years of experience with Microsoft Word and Outlook
  • Ability to multi-task
  • Ability to file alphabetically and numerically
  • Ability to attend work consistently and maintain a regular work schedule


EXPERIENCE:
Preferred:    7+ years of secretarial experience in a law firm or corporate legal department environment.   
 
EDUCATION:
Required:    High school diploma or general education degree (GED)
Preferred:    2+ years of college or bachelor’s degree
