DaVita functions as a very fast-paced work environment, so your ability to work at a high-level of proficiency with little supervision is essential. As an Executive Assistant to the Executive Chairman, you are clever, resourceful and independently driven. You know how to take the ball and roll with it. You have the ability to Get Stuff Done; or GSD as we call it, with extreme attention to detail. This is the perfect role for someone who is assertive, organized and able to decisively make well thought out decisions and run with them. In addition to accountability for the action steps, this person must also own the results. We will also be sure to put your multi-tasking skills to the test!

Responsibilities include, but are not limited to:

  • Schedules appointments, maintains calendars – serves as the Scheduler, prepares external/internal correspondence, telephone and visitor screening, assists in preparation of presentation materials, and maintenance/filing of documents, both electronically and hard copy
  • Organizes and executes complex travel itineraries, both domestic and international; has knowledge of world time zones, is available outside normal business hours during international trips. Prior experience coordinating international travel, including both commercial and private flights, is important.
  • Coordinates special events and meetings, both on and offsite, leads preparation of meeting logistics, including booking, and completing venue arrangements
  • Willingness to work long and demanding hours at times, including some “on-call” weekends, and the occasional evening work request. Expected to provide continuous support in tandem with the executive’s daily schedule and obligations.
  • Must be high energy with a drive for excellence, demonstrated the ability to assess and prioritize large volumes of information.
  • Act as a project manager for special projects, which may include planning and coordinating multiple presentations, dissemination of information and any other special tasks as assigned.
  • Handle and route confidential and non-routine documents and information.
  • Handles matters proactively and expeditiously and follows-through on projects to successful completion.
  • Assists with correspondence and communication that comes into the executive’s office, apprises executive on nature/priority of each item, and coordinates responses.
  • Researches, prepares and finalizes expense reimbursements on a monthly basis in expense tracking application.
  • Other duties as assigned.

     Qualifications:

  • Minimum of 5 or more years as an executive assistant or secretary to a C-Level managers such as CEO, COO, CFO, CIO, CMO, President, Vice President, or Executive Vice President.
  • Alternatively, significant experience as a travel planner and/or event coordinator, including high profile and complex travel/events.
  • High School diploma, or equivalent, required. College degree a plus, but not required.
  • Must be high energy and highly organized with the ability to work and prioritize large volumes of information in a fast paced environment.
  • Attention to detail, follow up and follow through a MUST!
  • Must have Integrity; must be trustworthy and able to keep matters highly confidential.
  • Proficiency in Microsoft Office Word, Excel and PowerPoint.
  • Strong organizational, time management and communication skills are required.
  • Must be able to work independently as well as work with a team for value add.
  • Ability to remain calm under tight deadlines.
  • Excellent written, oral and interpersonal communication skills are required.
  • Judgment and decision-making ability, must know when to “push-back”.
  • Must demonstrate poise, tact and diplomacy at all times.
  • Must be flexible and open to handle frequent schedule/calendar changes on a daily basis.
  • Must be self-motivated and hold ones-self “Accountable” for meeting commitments and deadlines.
