About the Role The Executive Administrator provides senior level administrative support to the Chief Executive Officer (CEO) and other Executives, serving as the primary point of contact for all internal and external parties. The Executive Administrator is responsible for working closely with the CEO on all matters pertaining to the Office of the CEO to optimize efficiency, while independently managing administrative tasks and coordinating special projects. The Executive Administrator will handle confidential firm and employee information which requires a high level of discretion. How You’ll Help Us Be Successful Performs a variety of senior level administrative tasks for the CEO and other Executives including: actively managing extremely active calendars, preparing expense reports, drafting, and preparing correspondence, arranging complex travel plans, scheduling meetings, and preparing and compiling documents. Plans, coordinates and ensures the CEO’s schedule is followed and respected. Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the CEO’s time and office. Serves as the primary "go to" person for the CEO and other Executives as assigned. Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. Provides leadership to build relationships crucial to the success of the firm, and manages a variety of special projects. Works autonomously, resourcefully, takes initiative and demonstrates excellent follow through. Works closely with CEO and other Executives to proactively keep them informed of upcoming commitments and responsibilities, following up appropriately. Acts as a “barometer”, having a sense for the issues taking place in the environment. Serve as a bridge for smooth communication between the CEO’s office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management and employees. Records, transcribes and distributes minutes of meetings where Executives hold a leadership role. Successfully completes critical aspects of deliverables with hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks to facilitate the CEO’s ability to lead the firm. Demonstrates proactive and strategic approaches to problem solving with foresight into possible issues and strong decision-making abilities. Exhibits independent judgment and discretion with sensitive, confidential information. Works on assignments requiring independent action, exceptional time-management skills and a high degree of initiative. Demonstrates strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. Answers and manages incoming calls. Receives and interacts with visitors. Effectively collaborates with internal and cross-office departments and staff at all levels. Exhibits a high degree of competence, sound judgment and common sense at all times. What You’ll Need to Be Successful Bachelor's Degree required. 10 years of directly related experience providing administrative support to a CEO or other top Executives, preferably in a professional services firm. Proficiency in MS Office required. Requires excellent written and verbal communication and interpersonal skills. Proven ability to handle confidential information with discretion, be adaptable to competing demands, and demonstrates the ability to provide a very high touch to client service.
